The Boca Raton hosts 800 Florida tourism experts
That’s a wrap on Visit Florida Governor’s Conference on Tourism! Our crew recently designed the set build and provided full scale AV production for this annual event at the beautiful The Boca Raton. The three-day conference welcomed tourism professionals from all over the state for an awards gala, educational sessions, multiple keynote speeches and sponsor presentations.
It took a full day and a half for load-in, set-up and client rehearsals for General Session in the Grand Ballroom. We also set four different breakout rooms and a Board of Directors room equipped with a camera/streaming package and an audio complement of 32 push-to-talk mics.
Our main set feature in the GS was a 44’ x 18’ hedge wall that we hand built panel by panel. A custom event logo was created over a plexi surface to center the scenic wall.
We suspended our side projection screens from the ceiling and did so at a 10° angle for added effect. We up-lit the hedge wall and were able to change the look and lighting design many times throughout the show.
We worked with the in-house riggers to fly additional moving light fixtures and our full line array audio system. We placed additional speakers throughout the room and used both wireless and lectern microphones for presenters. Our carpentry team also built a triangular thrust to the front of the stage to add more dimension going into the house.
A couple other areas that used AV were the trade show space where we provided a PA system and monitors for visual displays, as well as some lighting trees in the foyer to hit a logo cut-out and wash the ceiling with colors that aligned with the theme.
Before we even arrived on location, there was quite a bit of pre-production to be done. The first night’s award ceremony was a video package that we edited together ahead of time and also for which we recorded the VOs. During the show, we played each segment back live and allowed for IMAG shots of the main category’s winners to come to the stage and accept their awards after they were announced in the video.
